This documentation is to help you in using keep Schoolin app. Please go through the documentation carefully to understand how each step is done. Basic knowledge of using a website is enough.


You will need only a web browser (eg: Google Chrone or Mozilla Firefox and thats all).

How to login? #back to top

  • Step 1 - In browser enter the url for your school, here we suppose demo. You can see your school page. On right top click LOGIN.
  • Step 2 - Enter your username and password.
  • You will logged in and a page similar to this one will be displayed.

How to create a user? #back to top

  • Step 1 : Login to keepschoolin application as admin (you must an admin to add / create a user).
  • Step 2 From menu select (That can be student, teacher or parent. Here we suppose that you are adding student.)
    People > Student >
  • Step 3 Click on “Add Student” button

  • Step 4 Fill the required fields and save.
  • Step 5 Share the username and password with that user.

Promotion #back to top

  • In this tutorial we will promote a class from current year and class to next year and class.

    For example we have the following students in class [2nd White], total 9 students.

  • In this tutorial we will promote 8 students to class 3rd and 1 student will be in the same class 2nd for next year.

    We have current / default academic year 2017-2018 in our Administrative Tasks / Academic Years.

  • Step 1 To add a new academic year, click on <> button and fill the form and submit.

  • Now we have another academic year 2018-2019 in list and that is default / current year.

    Now our software will consider this year for every operation, for example the student list will only show the student in this year, and fee will be only calculated for student in this year etc.

  • Step 2 We can verify the student list, there will be no students in list, because our Default Academic Year have no students yet.

  • Step 3 To promote the students to next class and academic year, from menu >> Administrative Tasks >> Promotion

  • Step 4 Select the Academic Year, class and section, the student will be displayed.

    In Promote Class select the class and section to which you want to promote these students.

    And Click Promote button.

  • Step 5 Now let verify the student list, we promoted 8 students to class 3RD white.

  • Step 6 Let transfer the 1 student to next / current academic year but to the same class 2nd white.

  • Step 7 We select the same class on both side, this will transfer the student to the same class but to the current academic year.

    Let verify the student Hamza in student list

  • We can see the only one student in class 2nd white.

Import Students #back to top

    Using this feature we can upload bulk students

  • First of all download the template from [People] [students] and then [Download Template]
  • You will see the downloaded file in bottom.

  • Open the student_upload_template.csv

  • In this file you will see 16 columns, only the Firstname, class_id, and section_id are mandatory, all the others are optional. Fill the excel sheet with your students data,

  • And open the import student dialog box [ People / Students / Import Student ]

  • Select the csv file to upload / import the students. in open dialog box select the csv file and click [open].

  • The csv file is visible in Choose your file, now click [Upload csv] button. You will be redirected to student list, verify your students in list by using the search boxes in bottom.
